When you compare digital signage platforms, two cost lines are easy to miss in the first quote: the player license and the server. Both can quietly double the real cost of running your screens.
What a "player license" is
The player is the software that runs on the screen or media box and actually plays your content. Some platforms - Xibo is the best-known example - charge a separate license per display for their Android, Windows or webOS/Tizen players (a one-off fee or a subscription, depending on the player and platform). Add 50 screens and that is 50 license fees on top of everything else, plus renewals when you replace hardware.
The self-hosting burden
Open-source platforms like the Xibo CMS are free to download - but "free" means you run the server. That puts on your team: provisioning and paying for hosting, applying security patches, database backups, SSL certificates, version upgrades, monitoring uptime, and scaling the server as your screen count grows. If the server goes down at 2 a.m., that is your problem to fix.
The "cloud" alternative still splits the bill
Most of these vendors also offer a paid hosted option (for example Xibo in the Cloud). It removes the server work, but you now pay a monthly hosting fee and, in many cases, still pay the per-display player license on top.
